How Oracle69 Systems collects, uses, retains, and protects information across website visits, enquiries, AI assistant interactions, and customer engagements.
1. Introduction
Oracle69 Systems ("Oracle69", "we", "our") builds AI-powered business systems and enterprise intelligence capabilities, with a focus on emerging markets. This Privacy Policy explains how we handle information collected through our public website at oracle69.com, related contact channels, and interactions with Oracle69 AI systems.
Oracle69 operates from Nigeria. We handle personal information in line with applicable Nigerian data-protection obligations, including the Nigeria Data Protection Act 2023 and applicable regulations and guidance issued thereunder. This policy does not claim any certification, registration, or regulatory approval beyond what the law requires of us.
This policy distinguishes between four groups, because what we collect and why differs for each: (a) website visitors who browse our pages; (b) prospective customers and leads who contact us or request information; (c) users who interact with Oracle69 AI systems, including the website AI assistant; and (d) customers of Oracle69 services and products, whose processing is additionally governed by the applicable service agreement.
2. Information we collect
We collect only information that is relevant to operating the website, responding to enquiries, providing our systems, and meeting legal obligations. The categories below describe what may be collected across our touchpoints.
3. Information you voluntarily provide
When you contact us — for example through a contact form, email, phone call, partnership enquiry, investor enquiry, or careers correspondence — you may provide your name, email address, phone number, company or organization, role, subject of enquiry, and the contents of your message. We use this information solely to respond to you, assess the enquiry, and, where appropriate, maintain a record of the correspondence.
If you submit business information (such as operational needs, use cases, or requirements), we treat it as confidential correspondence and use it only to evaluate and respond to your request unless we agree otherwise with you in writing.
4. Contact and lead information
Prospective customers and leads who request demos, partnerships, or proposals may be asked for contact details and basic organizational context (company name, team size range, needs, timelines). Providing this information is voluntary. We use it to qualify the enquiry, prepare a relevant response, and arrange follow-up through your stated preferred channel.
Website AI interactions are informational and qualification-oriented. Completing a qualification conversation does not create a binding commercial agreement, and any resulting follow-up is handled through ordinary contact channels unless a separate agreement is executed.
Consultation scheduling (where offered): if you choose to book a consultation, we ask for the minimum details needed to arrange it (name, email, organization where provided, meeting format, and a brief description of what the meeting should cover) and, only after your explicit scheduling consent, create a calendar event containing those details. The calendar event is the record of the appointment; email confirmations about it are sent separately and their delivery is reported independently.
WhatsApp updates (where offered): appointment-related WhatsApp messages are sent only when you provide a WhatsApp number and separately consent to WhatsApp appointment updates. That consent covers transactional consultation messages only and does not authorize marketing messages. You may decline WhatsApp updates and still book a consultation through the website and email.
5. AI assistant interactions
Our website includes an AI assistant that answers questions from approved Oracle69 knowledge and may conduct structured qualification. Conversations you have with the assistant — including questions you ask and answers you provide during qualification — are processed to generate responses and, where you explicitly consent, to create a structured intake record for follow-up.
Intake records are created only after an explicit consent step. Without that consent, no intake record is submitted. Where the downstream system is unavailable, the assistant directs you to our verified contact channels (email and phone) rather than recording a submission it cannot complete.
Do not share sensitive personal information (such as government identifiers, financial credentials, or health data) with the website AI assistant. It is designed for business enquiries and cannot securely process such data, and you should never include secrets, passwords, or API credentials in any message.
6. Website usage information
Like most websites, our hosting infrastructure may automatically record limited technical information when you visit, such as the pages requested, timestamps, browser type, device type, and approximate network origin. We use this information to operate, secure, and improve the website — for example to detect abuse, diagnose errors, and understand aggregate usage patterns.
We do not use this technical information to build advertising profiles, and we do not sell personal information.
7. Cookies and similar technologies
We use only cookies and storage that are necessary for the website to function — such as remembering display preferences (for example theme settings) and maintaining the integrity of interactive sessions. We do not deploy third-party advertising or cross-site tracking cookies on this website as of the date of this policy.
Your browser controls apply: you may block or clear cookies through your browser settings. Blocking strictly necessary storage may affect interactive features such as the AI assistant session.
8. How we use information
We use information we collect to: operate and secure the website; respond to enquiries and correspondence; conduct qualification conversations you choose to participate in; create intake records only where you have explicitly consented; provide and support Oracle69 services under applicable agreements; comply with legal obligations; and improve our systems based on aggregated, non-identifying patterns.
We do not use your enquiry content to train public models, and we do not disclose your correspondence for marketing by third parties.
9. Service providers and processors
We may rely on service providers that host our website, deliver infrastructure, or provide operational tooling (for example hosting and deployment platforms). These providers process information only as needed to deliver their services to us and under their own contractual and security obligations.
This policy does not name specific subprocessors, because our tooling may change over time. Enterprise customers receive processor details in their service agreements where required.
10. Data retention
We retain information only for as long as necessary for the purposes described in this policy. Website correspondence is retained for as long as needed to handle the enquiry and maintain reasonable business records. Intake records are retained as business records of qualified enquiries. Technical logs are retained for a limited operational period and then aggregated or deleted.
Where a service agreement specifies retention terms, those terms apply to customer data.
11. Data security
We apply reasonable organizational and technical safeguards appropriate to the nature of the information, including transport encryption, access controls, consent gating before intake submission, redaction of sensitive data from logs, and replay and rate-limit protections on interactive endpoints.
No method of transmission or storage is completely secure. You can reduce risk by not sending sensitive identifiers, credentials, or secrets through website forms or AI conversations.
12. Data sharing and disclosure
We do not sell personal information. We disclose information only: (a) to service providers described above, as needed to operate the website and respond to you; (b) where you have asked us to share it or consented to sharing; (c) to comply with applicable law, lawful requests, or legal process; or (d) to protect the rights, safety, and integrity of Oracle69, our users, and the public.
In the event of a business reorganization, successor-entity handling of information would remain subject to the commitments in this policy unless you are notified otherwise.
13. International processing
Oracle69 operates from Nigeria, and information you provide may be accessed from Nigeria in the course of responding to you. Our infrastructure providers may process limited technical data in other jurisdictions as part of hosting and delivery. Where cross-border processing occurs, we rely on the safeguards provided by our providers and applicable law.
We do not claim data residency in any specific country beyond what our service agreements commit to for enterprise customers.
14. Your rights
Subject to applicable Nigerian law, you may request access to, correction of, or deletion of your personal information held by us, object to or request restriction of certain processing, and withdraw consent you previously gave (withdrawal does not affect processing already performed on the basis of that consent). To exercise these rights, contact us using the details in Section 18.
We will respond within a reasonable period and may need to verify your identity before acting on a request. Where we are not the controller of the data (for example data processed strictly under a customer's instructions), we will direct you to the relevant controller where appropriate.
15. Children's privacy
Our website and AI systems are intended for business audiences and are not directed to children. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, contact us and we will take reasonable steps to delete it.
16. Third-party links and services
Our website may link to third-party websites or services (for example social platforms or external references). We are not responsible for the privacy practices of those third parties. Review their policies before providing them with information.
17. Changes to this policy
We may update this policy to reflect changes in our practices, technology, or legal obligations. Material changes will be reflected by updating the effective date below and publishing the revised policy on this page. Continued use of the website after an update constitutes acknowledgement of the revised policy.
18. Contact us
For privacy questions, rights requests, or concerns about information you have shared with us, contact Oracle69 Systems at oracle69digital@gmail.com or +234 803 927 1978 (Lagos, Nigeria). Please describe your request clearly and include the email address or phone number you used when contacting us so we can locate the relevant records.
